WinterFest 2025
February 7-8 l Hilton Garden Inn, Wausau, WI

Join us as a vendor for the fourth annual WinterFest! This event will be hosted at the Hilton Garden Inn in Wausau, WI from February 7-8, 2025.

What Is Included In a Booth:

  • Registration for two representatives
  • One 6' table (booth area approximately 8'x6') (If additional accommodations are needed please reach out to us)
  • 2 chairs
  • An attendee list will be provided at the event and a full attendee list will be shared after the event.
  • The chance to connect with doctors from all over the state!
Cost is $450 for a booth.  


Set Up/Take Down Information 

  • Set Up: Exhibitors may set up Thursday, Feb 6 starting at 6:00pm and continue on Friday, February 7 from 6:00 a.m. – 7:00 a.m. All exhibits must be in place by 7:00 a.m. on Friday, February 7. (Please note that the vendor area is in an open hallway, so please make sure not to leave important equipment or valuables out overnight)
  • Take Down: Exhibitors may begin dismantling their booths at 3:30 p.m. on Saturday, February 8. 

Shipping Instructions

If you have items to ship, please send them to the hotel’s address of 151401 County Road NN, Wausau, WI 54401. On the address label, please place your name under the hotel’s name so the hotel can confirm the correct recipient.  


Schedule of Events 

There will be a 20 min break per 2-hour session where attendees will have time to visit the exhibit booths. Coffee, Tea and Water will be provided.


Hotel Room Block Information

WinterFest will be held at the Hilton Garden Inn in Wausau - 151401 County Road NN, Wausau, WI.

CSW Room Block Rates are $189 per night for Feb 7-8, 2025. Please contact the Hilton Garden Inn directly for availability at (715) 298-5775. Room block rates available until January 7.


Registration Deadline:
The deadline to register for WinterFest is January 24, 2025.

Vendor Cancellation Refunds:
Registration cancellations will be accepted until January 23, 2025 for a full refund excluding a $25 administrative fee. There will be no refunds for cancellations received after the registration deadline January 23, 2025. All refund checks will be issued after the conclusion of the event.
